Unit Renewals for units expiring on 12/31/26 will open on November 1st!

IMPORTANT CHANGES FOR THIS YEAR’S RECHARTER:

  • It is CRUCIAL to renew all INDIVIDUALS who expire by 12/31/26 before 12/31/2026. On January 1, 2027, prices go up.
  • The unit will have sole responsibility for renewing individuals until 1/1/2027. Individuals will not be able to renew themselves until 1/1/27.

 THIS IS THE PROCESS FOR RENEWALS:

1)  Starting November 1st to December 31st, the UNIT has sole control of renewing their individual members. Individuals will not be able to renew themselves until after the recharter period is closed on 12/31/2026.

One of the Key 3 can also go to the Unit Roster in my.scouting and click the box next to someone’s name, and either renew them online or print out a renewal order and take it into the council to pay by check/cash. Go to the bottom of this email for step-by-step instructions.

2) When all required adult positions have been renewed (Charter Representative, Committee Chair, two Committee Members, the Unit Leader, and 1 Den Leader if it’s a Pack) and at least 3 youth, one of the Key 3 goes into my.scouting again and approves the Renewal of the UNIT itself, paying the $120 fee online or taking the signed Renewal paperwork into the office to pay.

**This year, it’s more important than ever to submit your recharters on time, because renewal fees go up on January 1, 2027! Any individuals who are renewed later than 12/31/2026 are subject to the new, higher fees! Also, Unit Renewals not completed and submitted by December 31st will result in loss of insurance coverage and attendance at activities.**

WHERE DO I RECHARTER?

Active 2 months before the Unit Expiration Date, Unit Renewal is found in Organization Manager and available to Unit Key 3 members.  A member of the Unit Key 3 can go online to my.scouting.org and renew the unit there.

WHO CAN RECHARTER?

Only Key 3 Leaders will have access, which includes the Chartered Organization Representative, Committee Chair, and Cubmaster/Scoutmaster/Crew Advisor/Exploring Advisor.

PLEASE NOTE:

All errors such as expired SYT for adult leaders will have to be resolved before the unit can renew.  When renewing a unit, it is important to remember the following:

  •  This process only renews the unit, not any of the members.
  • A unit has now has a ZERO lapse period after the unit expires, meaning there will be no access to Scoutbook+, no ability to register for events, and they will not be covered by insurance.
  • It is recommended that the Key 3 checks for any validation issues before attempting to renew the unit. The most common is Safeguarding Youth Protection (SYT) dates for adult leaders.
  • Check the leadership positions and make sure the correct names are in the correct positions; if not, use “Position Manager” found in Organization Manager to edit and save. If you have issues completing this, contact the Laura Stanifer, the Council Registrar.
  • The Key 3 member should have a credit card available to pay the Unit Renewal fee ($120.00). If they prefer to pay at the council, they will need to print out the renewal, sign it, and turn in a check at the council or let the Registrar know they want to take the fee from their account.
  • Other validation checks are still performed at the time of renewal.  Validation checks include:

o Unit does not have required number of leadership positions – Error.

o Leaders do not have current Safeguarding Youth Training – Error.

o Leaders do not have completed CBC Authorizations – Warning.

o Leaders are less than 18 years old – Error.

o Adults do not have SSN – Warning.

ASSIGNING A DELEGATE: If you wish for another registered Unit Leader (perhaps a Committee Member or Assistant Scoutmaster/Cubmaster) to complete the recharter on your behalf, you have the option of assigning a DELEGATE to have your permissions within the system. This does not change their position or yours; it simply gives them additional permission. Assigning a delegate is a simple step done online; simply log in to your my.scouting account, select your unit, and click “Position Manager” on the left.” Then click “Functional Roles” and “Add” under the Key 3 Delegate column. HOW MUCH IS RECHARTER?

Charter Fees are $120, which includes 2 extra months through February 2028, the new renewal cycle.

Youth expiring on 12/31/26 or before are $95.00. If they renew late, they will be pro-rated at the new fee of $8/month through February 2028, plus the $10 council insurance fee.

Adults expiring on 12/31/26 or before are $75.00. If they renew late, they will be pro-rated at the new fee of $6/month through February 2028, plus the $10 council insurance fee.

If youth are on a cycle that is different from the calendar one (i.e. 12/31/26), they will be good until they expire sometime during 2027, at which time they will be renewed at the new rate of $8/year through February 2028, plus the $10 council insurance fee. Example: Johnny’s registration doesn’t expire until September 30, 2027. He does not need to renew until October 1, 2027, at which time he will pay for 5 months through February 2028, for a total of $40.00 plus the $10 council insurance fee.

There are 3 payment options:

  1. Pay online (includes 3% surcharge)
  2. Pay via EFT (includes $1.00 surcharge)
  3. Pay at Council—send a check or use Unit funds at Council
